It seems like only yesterday employers were thronged with courses and services relating to Data Protection and GDPR. Data Controllers were being nominated in flurries of action and policies created in a vacuum of knowledge and understanding. The mean average of what we knew about it all amounted to little more than ‘password security.’

Now with the majority of businesses operating from home, meetings through Zoom and files on kitchen tables data protection is a hot topic again.

If ESA could get you started with one thing in relation to data security it would be password security. If you are the data controller in your business do you know the passwords for everyone’s company laptop and mobile phone? Have you sent an email or memo advising employees of the importance of not sharing their password(s) with anyone else unless you have authorised it?

Top tips for password security

1. The Data Controller should be the only person to have an up-to-date record of all the passwords for all staff;

2. A policy about the security of passwords should be given to all staff and possibility of disciplinary action for breaches of this policy highlighted;

3. Passwords should be a combination of letters, numbers and symbols;

4. Passwords should be changed on a regular basis.
